ABOUT WORKING FILMS
Working Films brings the worlds of documentary filmmaking and social justice together. We connect movement leaders, organizers, activists, and other change leaders with the right films at the right moment to amplify their efforts and help them meaningfully involve audiences when “the lights come up.” We help mission-driven filmmakers with funding, training, and technical assistance, and we train organizers in how to best use film in their campaigns and efforts for long term change. On issues like racism, income inequality, and the climate crisis, we believe film has a unique power to shift the story and drive change in states and local communities across the nation. Our theory of change centers on the unique ability of documentaries to demonstrate complexity, illuminate the intersections between people and issues, and catalyze action for a just and equitable future
WHO WE’RE LOOKING FOR
We are seeking an Organizational and Administrative Coordinator who loves organization and process, and has a passion for social justice, documentary film, and the power of connecting the two. The ideal candidate will be well organized, flexible, have integrity, creativity, initiative, a collaborative spirit, and a sense of humor. We’re looking for someone who can help make sure all of our systems and processes run smoothly, is a strong communicator, and who will make sure our Wilmington, NC office /meeting space is organized and utilized in service of our mission. We need someone who can help us make all of that happen while exhibiting grace under pressure, compassion, and the ability to be both kind and honest. We also want to work with someone who strives to take care of themselves, is able to set boundaries, and who values and aims for a healthy work-life balance. Lastly, we are seeking someone to join our team who works actively toward anti-racism, anti-sexism, anti-ageism, anti-ableism, and anti-classism – both personally and in their work – and somebody who is committed to our core values of collaboration, accountability, grassroots leadership, action, reflection, innovation, justice, equity, and the transformative power of film.

POSITION DETAILS
- Title: Organizational and Administrative Coordinator
- Full-time (4 days / 32 hours per week), salaried: $55,000
- Benefits: We offer a generous benefits package, including paid time off, full health insurance coverage, SIMPLE IRA contributions, quarterly self care stipends, phone/internet reimbursements.
- Location: This is a hybrid position, some in office hours in Wilmington NC required. Candidates need to be available during times of 9am – 5pm ET.
- Physical Environment: Hybrid, partial virtual and an average of one day in office per week in Wilmington, NC.
- Reporting: This position will report to the Director of Finance and Organizational Resilience.

RESPONSIBILITIES
- Assist with office responsibilities (physical location); maintain offices files, coordinate office usage by staff and allied groups/individuals, process incoming and outgoing parcels/mail, answer office calls, stock office supplies, simple bookkeeping/payment processing, scan documents, assist with audit needs, bank deposits, support fundraising administrative needs etc. *Please note there may be times where office supplies or local event set ups require some lifting (42 lbs).
- Assist with organizational administrative responsibilities (can be virtual); scheduling when needed, take notes in meetings, respond to general emails, assist with logistics for staff and projects when needed, data management, maintain events and admin calendars, maintain/organize files in google drive, review and proof grants and other documents
- Manage local event logistics; board meetings, film screenings, other local events.
- Assist with maintaining SalesForce/Data management system
- Individually and in collaboration with co-workers, maximize the effectiveness of our organization. Participating in staff meetings, planning, and ongoing organizational processes.
- Actively participate in organizational team meetings and processes, including weekly staff meetings, staff design teams and meetings, monthly decolonizing sessions, quarterly staff retreats, and board meetings.
Your experience should include:
- Experience in office management
- Proficiency in basic bookkeeping tasks, filing and retrieving records, documents and reports
- Demonstrated proficiency and experience in managing competing priorities while maintaining high standards of quality and responsiveness.
- Experience in developing internal processes and filing systems
- Competency in various software including QuickBooks, SalesForce, Google Docs/Sheets, (Slack and Submittable a plus)
Your knowledge, skills and abilities should include:
- Commitment to Working Films mission and core values as part of a broader social justice movement dedicated to racial, economic, and gender justice. Demonstrated commitment in DEI and/or social justice through volunteer or professional experience is preferred.
- Excellent verbal and written communication skills.
- Highly collaborative with an ability to work in an environment where teamwork and self-motivation are necessary for success.

- Strong time management and strategic planning skills, with a demonstrated ability to bring an idea to life.
